stiwdio north wales – Terms and Conditions of Hire

By booking and using the space at stiwdio north wales (“we/us”), you (“you/your”) agree to the following terms:

1. Booking & Payment

  • All bookings must be made in advance via our online booking system or directly by email.
  • Payment is due in full at the time of booking unless otherwise agreed.
  • Your booking is only confirmed once payment has been received.
  • Prices are subject to change, but confirmed bookings will not be affected.

2. Cancellations & Refunds

  • No-shows and cancellations made with less than 48 hours’ notice are non-refundable.
  • Cancellations with more than 48 hours’ notice may be transferred to another available date, subject to availability.
  • If we must cancel due to unforeseen circumstances (e.g. power outage or structural issue), we will offer a rescheduled session or full credit.

3. Access & Use of Space

Access

  • Access is granted only for the time booked. Your session begins and ends at the scheduled time, regardless of late arrival.
  • If you overrun your session time, you will be charged for the additional hour.
  • If you wish to stay longer, let us know as soon as possible. Extra time may be available at our standard hourly rate, and immediate payment will be required to confirm the extension.
  • A member of our team may be on-site during your session but will remain in the office with the door closed.
  • Upon leaving, you are responsible for ensuring all furnishings are put back to where you found them. 
  • Upon leaving, you are responsible for ensuring the door is locked behind you if the session is unmanned.

Furniture, Props & Cleanliness

  • You may use all props and lights, except the large gold mirror which must not be moved.
  • All items must be returned to their original positions by the end of your session.
  • Please use the bin provided for small rubbish and take any large waste away with you.
  • The space must be left in the condition it was found. Cleaning or damage fees may apply for excessive mess, stains or misuse.
  • We aim to keep our furnishings clean. You are responsible for avoiding any transfer of makeup, fake tan, hairspray, food or dirt onto soft furnishings. Cleaning charges will apply for stains or damage.

Kitchen & Toilets

  • The kitchen area and bathroom are available for your use, including complimentary refreshments.

Capacity & Conduct

  • Do not exceed the agreed number of guests. Group size must be agreed in advance.
  • You are responsible for ensuring all attendees follow these terms.
  • Children are welcome but must be supervised at all times.
  • Pets may be allowed with prior approval and a £50 refundable deposit.

Prohibited Activities

  • No smoking, vaping, illegal substances or open flames are allowed on site.

CCTV

  • CCTV is in operation for security and safety. Footage is viewed only in the case of damage, health and safety incidents, or when the studio is unoccupied. Footage is automatically deleted after 7 days.
  • If you would prefer the cameras are disabled during your booking, please email us in advance. A refundable deposit may be required.

Damage

  • Please do not mark, draw, tape, or stick anything to the walls without prior approval.
  • Any furniture or prop that is broken, stained, or damaged during your session may incur a repair or full replacement fee.
  • Do not drag furniture across the floor, as this may damage both the flooring and the item.
  • Avoid transferring fake tan, makeup, hairspray, or food/drink onto furniture or surfaces. Cleaning fees will apply for stains.

4. Insurance & Liability

  • You are responsible for your own equipment and personal belongings.
  • We are not liable for loss, damage or injury during your session, unless due to our negligence.
  • If you are hosting an event, class or activity involving others, you are required to have your own public liability insurance.
  • You are responsible for the conduct of all attendees, guests, or third-party providers (e.g. photographers, stylists, facilitators) you invite. We are not liable for their actions, equipment, or services while using the studio.
  • You must ensure all guests follow studio rules, including safety, cleanliness, and booking limitations.

5. Fire Safety & Emergency Procedure

  • Familiarise yourself with fire exits and assembly points (outlined in the Welcome Pack).
  • Fire exits must remain clear at all times.
  • You are responsible for safely evacuating attendees in case of emergency.

6. Respect & Conduct

  • All users must behave respectfully toward the space, neighbours, and other hirers.
  • Keep noise and music to reasonable levels to avoid disruption.
  • We reserve the right to cancel or refuse bookings for inappropriate or unsafe conduct.
  • You are responsible for the behaviour of everyone in your booking.

7. Social Media & Promotion

  • We love seeing your work. If you tag @stiwdionorthwales and use #createdatstiwdio, we may share your content with credit.
  • If you’d prefer not to be featured, let us know before your session.

8. Changes to Terms

  • These terms may be updated periodically. The version applicable is the one in effect at the time of your booking.
  • These terms are governed by the laws of England and Wales.
